How to choose moving company software: a checklist

Moving software should take work off the office, not add to it. This checklist helps you compare any product, MovesFlow included, on the things that matter every day.

Published

1. Where do requests come from?

Requests arrive by phone, website, email and WhatsApp. Check that the software collects them in one queue: a form for your website, a way to forward emails and quick manual entry for phone calls.

2. How fast is it to write a quote?

Build a real quote during the demo. It should start from the request data, allow line items and extras, produce a presentable document and let the customer accept it with an online signature. If you have to retype data, you will lose time on every job.

3. Does the calendar know your crews and trucks?

A generic calendar shows appointments; moving software must show who and what is free. Check that it sees people and vehicles, flags conflicts and accounts for maintenance and absences.

  • Daily availability of crews and vehicles
  • Warnings about double bookings
  • Vehicle maintenance and due dates
  • Sync with Google Calendar

4. Are invoices and payments tied to the job?

The invoice should come from the completed job, with your template and tax details, and the customer should be able to pay online. Also ask whether you can see at a glance what has been paid and what has not.

5. Crews, languages, data and cost

The last questions are about who uses the system and what happens to your data.

  • Can crews use it on their phones without installing anything?
  • Does each role see only what it needs (owner, office, drivers)?
  • Is it available in your team's languages?
  • Can you export your data if you ever switch?
  • Is the price clear, and does it grow predictably with the business?

Where MovesFlow fits

MovesFlow covers the whole cycle: requests from your website and by email, quotes with online signature, on-site surveys, crew and vehicle availability, fleet and maintenance, packing materials and no-parking signs, invoices with online payment, a customer portal, team chat and dashboards. It runs in the browser, has separate roles and is available in Italian, English, Romanian, Russian and German. The best way to judge it is a demo on your real process.
